Presentation Styles:
The organisers of OxGVC would like to emphasise that all presentation formats have equal importance. The three different presentation styles offer varied ways to present research and discuss it with colleagues. In all cases presenting authors will be able to deliver their research, and debate the content with other attendees at the meeting. Abstract submission is free of charge.
There are three formats to present at OxGVC:
Poster
Presenters will be able to upload their talk in advance for attendees to view. Dedicate poster sessions will allow attendees and poster presenters to discuss the presented topics via the OxGVC Discord Server. Posters presenters will be able to submit their completed poster via an online upload system. Posters must be submitted as a PDF. As the conference is online, there is no designated size for posters, but presenters are advised to design posters that can be easily read on computer screens.
Format
There is no set format or dimensions for your poster. However, presenters are reminded that posters will be viewed on electronic devices - the usual A0 format used at in-person meetings may not be suitable and difficult to view. Select a size and design suited for an online meeting.
File Upload
Your poster should be uploaded as a PDF, using this form. Please ensure the filename is your surname. You will need to login with a Google account (free) to upload your file. This google account does NOT need to correspond to the email your used to submit your abstract. Once uploaded, an online folder of the posters will be shared with OxGVC delegates.
Deadline
Please ensure your file is uploaded by 11:59pm Friday 3rd June BST (UTC+1) so we have time to curate the posters and share them with attendees.
Poster Presentation Sessions
Posters will be available to all delegates throughout the meeting, and each presenter is also asked to join their selected 30 minute poster session where delegates will be encouraged to meet with presenters and discuss their posters. These poster sessions will occur on the OxGVC Discord Server (see email to registered delegates). Posters have been placed into groups of 2-4 and assigned a dedicated poster room (see Programme) within the Discord Server where people can meet online and discuss presentations. It is hoped this will also promote discussion between poster presenters, as well as with delegates. Please check your poster session time and ensure you are online on the Discord Server at this time. You are more than welcome to use your poster room for discussions on your poster at other times too.
Flash Talk
Speakers will be allocated 5 minutes, in which they may present up to 3 slides (not including a title slide). At the end of flash talk sessions, there will be a panel question time for all presenters in that session. It is expected that Flash Talks will be presented live. In exceptional circumstances, permission to present via a pre-recorded video may be allowed. Further guidance about file formats, etc, will follow.
Online Platform
The Talks and Flash Talks for this year's OxGVC will be presented via the Streamyard platform, which will stream the presentations via the OxGVC Youtube Channel. Delegates will be able to ask questions via the comments section, and these will be put to the speakers at the question panel session. You will be sent a presentation link closer to the conference start - this can only be used for the session you are presenting in. You are recommended to use the Google Chrome browser when presenting.
Some quick instructions on entering a Streamyard stream as a guest presenter can be found here. Please be sure to read them in advance.
When to Use Your Presenter Link
Your guest presenter link will be sent to your closer to your presentation date. If you are giving a talk presentation, please access the online presentation room 5 minutes before the start of the session.
Flash Talk presenters in the first half of Flash Talk sessions (before the first Panel Questions) should access the online presentation room 5 minutes before the start of the session.
Flash Talk presenters in the second half of Flash Talk sessions (between the first and second Panel Questions) should only login once the first Panel Questions has concluded. Your Chair will make announcements to guide you.
Timing - Flash Talks
Flash Talks are limited to 5 minutes, in which you may present up to 3 slides (not including a title slide). We would like to impress upon speakers that it is vital their talks do not over-run. The Session Chairs will be very strict in ending talks that run over their allotted time, to ensure the meeting stays on schedule.
Format
Talk and Flash Talk presenters have two options for presenting via the Streamyard system. Choose the option that best suits you. You do not need to submit your presentation in advance - just have it ready for your presentation session. Your options are:
Talk
Speakers will be allocated 14 minutes to give their presentation. At the end of the talk session, there will be a panel question time for all presenters in that session. - Upload a PDF/PPT: when you access the system for your session, you can upload your PDF/PPT by clicking "Share", then "Slides", then "Your Computer". Select your file and it will upload. Your slides are then ready to use once it is your turn to present. You can begin the upload while other presentations are ongoing - it will not affect them. Because your slides are preloaded, the burden on your internet connection is lower. The downside is that animations and videos are not supported.
- Share your screen: when you access the system at the start of your session, you can prepare your screen share by clicking "Share", then "Share screen", then select the appropriate screen. Your presentation is then ready to be presented, and you can begin this process while other presentations are ongoing - it will not affect them. Sharing your screen is more demanding on your internet connection than uploading your presentation (outlined above) however screen sharing will support animations and videos.
